When you visit our website sworn.ai ("Site") and use our services, you trust us with your personal information. We take your privacy very seriously. In this privacy notice, we describe our privacy policy. We seek to explain to you in the clearest way possible what information we collect, how we use it, and what rights you have in relation to it. If there are any terms in this privacy policy that you do not agree with, please discontinue use of our Site and our services.

This privacy policy applies to all information collected through our websites, our mobile and/or web applications ("Apps"), including the Howard App, and/or any related services, sales, marketing or events (collectively referred to as the "Sites").

1. Information We Collect

Personal Information

We collect personal information that you provide to us such as name, address, contact information, passwords and security data, payment information, and social media login data.

We also collect personal information that you voluntarily provide to us when registering at the Sites or Apps, expressing interest in obtaining information about us or our products and services, when participating in activities on the Sites (such as posting in online forums or entering competitions), or otherwise contacting us.

The personal information we collect depends on the context of your interactions with us and the Sites, the choices you make, and the products and features you use. The personal information we collect can include:

Name and Contact Data: first and last name, email address, postal address, phone number, and similar contact data.
Credentials: passwords, password hints, and similar security information used for authentication and account access.
Health and Biometric Data: as a platform designed for first responder and high-performance wellness, we may collect health-related information such as HRV, heart rate, step count, sleep patterns, activity metrics, workout data, and other wellness measures. Data may be collected via wearable device integrations (e.g., Apple Health, Garmin, Whoop, Oura) or through user self-reporting.
Self-Reported Wellness Data: information you provide directly, including mood check-ins, stress levels, resilience ratings, nutrition or dietary logs, hydration, weight, or body composition.
Mental & Behavioral Health Indicators: self-reported well-being reflections, stress or anxiety levels, or participation in resilience and mindfulness exercises.
Duty and Work-Related Data: information about work schedules, duty assignments, workload, or operational intensity.
Social Media Login Data: if you choose to register using a social media account, we collect the information described in the "Social Logins" section below.

All personal information you provide must be true, complete, and accurate, and you must notify us of any changes.

Information Automatically Collected

We collect device and usage data (IP address, browser type, OS, referring URLs, etc.) to maintain the security and operation of our Sites.

If you use our Apps, including Howard, we may also collect:

Geo-location: optional location data for resource recommendations (e.g., nearby wellness services).
Mobile Device Access: with your consent, access to device sensors, Bluetooth, storage, or health apps.
Push Notifications: wellness alerts, reminders, and app updates.
Wearable Device Integration: syncing health and fitness data to provide personalized wellness insights.

Information Collected From Other Sources

We may receive information from public databases, partners, or dispatch/work systems.

2. Google Calendar Integration

If you choose to connect your Google Calendar to SWORN, we will access certain data from your Google account to provide the Calendar Integration feature. You can disconnect at any time.

What data we access

With your explicit permission via Google OAuth, SWORN reads the following from your Google Calendar using the https://www.googleapis.com/auth/calendar.readonly scope:

Event titles and descriptions
Event start and end times, including time zones
Event locations (when you have added one)
Your attendance status (so we can skip events you declined)
Whether events are recurring
Calendar metadata identifying which of your calendars an event belongs to

SWORN does not access, read, or store:

Your Gmail contents
Your Google Drive files
Your Google Photos
Any Google service beyond Calendar
Personal information of other attendees beyond what appears in event titles and descriptions you see

We use the read-only calendar scope. SWORN cannot create, modify, or delete events in your Google Calendar.

How we use this data

We use your calendar events to automatically create activity entries inside SWORN so you can see them alongside your other wellness data (sleep, fitness, biometric response). Specifically:

The event title, description, start/end time, and location are used to create a SWORN activity record.
To classify each event as an activity type (for example, a work meeting versus a workout) and to estimate its biometric impact score, we send the event title and description to our AI classification service, which is powered by Anthropic's Claude API. Anthropic processes this text in a stateless request and does not retain it after classification, per Anthropic's data handling policies.

We do not use your Google Calendar data to:

Train AI models
Show you advertisements
Sell or transfer to third parties
For any purpose beyond providing the Calendar Integration feature to you

How we store it

SWORN activities created from your calendar events are stored in our secure database alongside your other wellness data. All data is encrypted both in transit (TLS) and at rest. Raw Google Calendar API responses are not retained beyond the classification step. Access tokens and refresh tokens issued by Google are stored encrypted and used only to sync new events on your behalf.

How long we keep it

Activities created from your calendar are retained for as long as your SWORN account is active. You can delete individual activities at any time from within the app. If you delete your SWORN account, all calendar-sourced activities are permanently removed within 30 days.

Who can see it

Only you. Calendar-sourced activities are visible only to you within SWORN. No agency administrator, supervisor, coach, or other SWORN user has visibility into your calendar data or the activities derived from it.

Your controls

You can, at any time:

Disconnect Google Calendar from within SWORN at Settings → Connected Devices. New events will stop syncing immediately.
Revoke SWORN's access directly from your Google Account at https://myaccount.google.com/permissions.
Exclude individual events or patterns (for example, any event whose title includes a sensitive word) from syncing via SWORN's exclusion controls in the app.
Delete individual activities created from calendar events at any time from the activity detail screen.
Request full deletion of all your data, including calendar-sourced activities, by contacting us at info@sworn.ai.

Limited Use disclosure

SWORN's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. How Do We Use Your Information

We process your information for purposes based on legitimate business interests, the fulfillment of our contract with you, compliance with our legal obligations, and/or your consent.

We use the information we collect or receive:

To facilitate account creation and logon process with your Consent.
To provide health and wellness insights for our Business Purposes and with your Consent. We use your health data, biometric information, self-reported wellness information, nutrition and sleep data, and work-related data to provide personalized wellness recommendations, stress management insights, resilience prompts, and performance optimization suggestions.
To support resilience and mental well-being for our Business Purposes and with your Consent.
To send you health and wellness notifications with your Consent.
To send administrative information to you for Business Purposes, Legal Reasons and/or Contractual reasons.
To deliver targeted content to you for our Business Purposes and with your Consent.
To provide location-aware wellness resources with your Consent.
To protect our Sites for Business Purposes and/or Legal Reasons.
To enable user-to-user communications with your Consent.
To enforce our terms, conditions and policies for Business Purposes, Legal Reasons and/or possibly Contractual.
To respond to legal requests and prevent harm for Legal Reasons.
For other Business Purposes such as data analysis, identifying usage trends, determining the effectiveness of our wellness programs and to evaluate and improve our Sites, products, services, marketing and your experience.

4. Will Your Information Be Shared With Anyone?

We only share information with your consent, to comply with laws, to protect your rights, or to fulfill business obligations.

Compliance with Laws: We may disclose your information where we are legally required to do so.
Vital Interests and Legal Rights: We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, or situations involving potential threats to the safety of any person.
Healthcare Providers and Support Services: With your explicit consent, we may share relevant health and wellness information with authorized healthcare providers, employee assistance programs, or wellness coaches.
Department Administration: With appropriate authorization, we may share aggregated, anonymized data with your department's administration for wellness program effectiveness, resource allocation, and officer safety initiatives.
Vendors, Consultants and Other Third-Party Service Providers: We may share your data with third party vendors, service providers, contractors or agents who perform services for us or on our behalf.
Business Transfers: We may share or transfer your information in connection with any merger, sale of company assets, financing, or acquisition.
Affiliates: We may share your information with our affiliates, in which case we will require those affiliates to honor this privacy policy.
With your Consent: We may disclose your personal information for any other purpose with your consent.

5. Do We Use Cookies And Other Tracking Technologies?

We use cookies and user behavior tracking to improve your experience with our Sites and App. Using cookies and user behavior tracking allows our Sites and App to keep you logged in, send you notifications, inform our future feature designs to improve your experience based on your behavior when using our Sites and App, and provide personalized wellness insights.

All cookies and user behavior tracking technologies that we use are related to your interactions exclusively with our Sites and App, and are anonymized where possible.

6. How Do We Handle Your Social Logins?

Sensitive wellness and health data receive enhanced security and encryption. Data from minors is not knowingly collected. If you have privacy concerns involving children, contact us.

7. Is Your Information Transferred Internationally?

We may transfer, store, and process your information in countries other than your own. Our servers are located in the United States. If you are accessing our Sites from outside the United States, please be aware that your information may be transferred to, stored, and processed by us in our facilities and by those third parties with whom we may share your personal information.

If you are a resident in the European Economic Area, then these countries may not have data protection or other laws as comprehensive as those in your country. We will however take all necessary measures to protect your personal information in accordance with this privacy policy and applicable law.

8. What Is Our Stance On Third-Party Websites?

We are not responsible for the safety of any information that you share with third-party providers who advertise, but are not affiliated with, our websites. The Sites may contain advertisements from third parties that are not affiliated with us and which may link to other websites, online services or mobile applications. We cannot guarantee the safety and privacy of data you provide to any third parties.

9. How Do We Keep Your Information Safe?

We aim to protect your personal information through a system of organizational and technical security measures. We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, please also remember that we cannot guarantee that the internet itself is 100% secure.

Given the sensitive nature of health and biometric data we handle, we employ additional security measures including encryption, secure data storage, and restricted access protocols to protect your wellness information.

10. Do We Collect Information From Minors?

We do not knowingly collect data from or market to children under 18 years of age. By using the Sites, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Site and App.

11. What Are Your Privacy Rights?

In some regions, such as the European Economic Area, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.

Logging into your account settings and updating your account

12. Do California Residents Have Specific Privacy Rights?

Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information. California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes.
